Purchasing Manager

The Purchasing Manager will be responsible for coordinating and managing the overall operations of the Purchasing, Receiving and Storeroom Department to ensure that all departments of the hotel and properties have adequate supplies to perform their duties in an efficient manner.


  • Knowledgeable of various vendors, suppliers and trends within Hospitality;
  • Obtain competitive quotations for hotel/properities requirements and ensure that the best product is sourced and purchased;
  • Calls for quotations for any items costing more than a certain amount (as per company policy) and inquire into prices from various suppliers;
  • Forecast price and market trends to identify changes of balance in buyer-supplier power;
  • Maintain records of goods ordered and received;
  • Prepare and process requisitions and purchase orders for supplies and equipment;
  • Analyze market and delivery systems in order to assess present and future material availability;
  • Ensures & verifies that quotations are regularly updated and supplier’s new current price lists are maintained;
  • Develop and implement purchasing and contract management instructions, policies, and procedures;
  • Approves all additional requests for new storeroom items, checking correct item description, unit, packing, category and establishes Min/Max estimated stock levels;
  • Responsible for all purchasing functions, quotations, quality and availability;
  • Monitor cashiering procedures and any related problems closely and in coordination with the finance department;
  • Maintains all documents, files and listings up-to-date and performs his/her duties in the most efficient manner;

Requirements (Key Skills)

  • Degree in business administration or a related field;
  • Proven working experience as purchasing manager;
  • Familiarity with sourcing and vendor management;
  • Ability to build working relationships with vendors and customers;
  • Ability to gather and analyse data and to work with figures;
  • Identifies and resolves problems in a timely manner;
  • Excellent organizational and planning skills;
  • Excellent communication skills;
  • Very good financial awareness;
  • Ability to work under pressure;
  • Strong computer skills with knowledge of Microsoft Office programs;
  • Fluency in English language, other languages are considered a plus;
